Terms and Conditions

These Terms and Conditions apply to all candidates taking services from The USMLE Hub.

  1. Postponement Policy
  • Notice Period:
    • 3+ Weeks Notice: Applicants/Observers may postpone their rotation once at no extra charge if The USMLE Hub is notified at least 3 weeks before the start date,
      with valid documentation.
    • Less than 3 Weeks: No postponement is allowed. If unable to attend, all fees are forfeited. However, Applicants/Observers may switch their rotation to the available tele-rotation for the same dates if slots are available.
  • Travel Delays: If arrival is delayed, Applicants/Observers may join the rotation upon arrival, but the end date remains unchanged. No additional days will be provided.
  • Expiration: If a postponed rotation is not rescheduled within 6 months, all related fees are forfeited.

2. Documentation

All required documents must be submitted via email at least 3 weeks before the rotation begins. Failure to do so will result in cancellation.

3. Fees

All fees (deposit and balance) are strictly non-refundable.

4. Invitation Letters

  • Visa Support: The USMLE Hub does not offer visa assistance but can issue an official Invitation Letter which can be used as a supporting document for your visa application.
  • Contents: The letter will confirm your rotation details and payment status. It is a supporting document only and does not guarantee visa approval.
  • Request Process: Invitation Letters can be requested by email after paying the deposit amount and submitting the required documents.
  • Required Documents:
    • Passport copy
    • Graduation certificate (for graduates) OR a letter from your college principal or dean with your expected graduation date (for students)
  • Issuance: Invitation Letters are issued within 1–2 business days after the mandatory documents and Deposit payment are received.
  • Visa Responsibility: The Invitation Letter from The USMLE Hub is only one element of your visa application. You are responsible for preparing all other required documents. The USMLE Hub is not liable if your visa is denied.

5. Payment Deadlines

Failure to pay the balance fee at least 3 weeks before the rotation start date will result in cancellation.

6. Communication

If you do not respond to The USMLE Hub’s communications or reminders before your rotation, your spot will be cancelled and all fees forfeited.

7. Visa Denial Options

  • If your visa is denied:
    • You may convert your booking to a tele-rotation for the same dates, if available.
    • You may postpone your rotation once, following the postponement policy.

8. Third-Party Services

The USMLE Hub is not responsible for services provided by partner organizations or collaborators.

9. Letters of Recommendation (LOR)

  • Letters of recommendation will be awarded based on the individual’s performance and merit.
  • We advise all applicants to correspond directly with their Attending regarding any queries pertaining to the Letter of Recommendation (LOR).
